Converting existing data, including PastPerfect

We have converted data from several different system into eHive, including PastPerfect.

PastPerfect has a function to export catalogue records as a text file (comma separated values, or CSV format). I'm not familiar with the day-to-day use of PastPerfect, but the function allows you to export the current selection of records or all records in the system. You may need to export subsets if your records are catalogued in the separate PastPerfect catalogues (objects/archives/library/photographs).

We have built a standard import spreadsheet which can provide a simple way of mapping data between an existing system (including PastPerfect) and eHive. One way to convert the data is to cut and paste columns of data from an existing spreadsheet into our import spreadsheet. This gives you a chance to review/rework the data before it is imported, and you can fill in the Dublin Core Type field and eHive Catalogue Type fields. From PastPerfect, you would export the text file(s) and then open it in Microsoft Excel to view it as a spreadsheet.

We can also quote on converting data for you, advising on mapping of your original fields to eHive and cleaning up data where it doesn't pass our validation (e.g. image links not correct). We give quotes based on a copy of the current data because the time required depends on the number of fields you have.

Lastly, we are planning to build an import tool for users to import their own data. This is planned for late 2009.

Has the import tool been completed? What would be the easiest way to import from Past Perfect? To use spreadsheets to map fields?

Hi there,

No, the user driven import tool is still a while away. We currently run all imports into eHive manually. We have found that a high proportion of imports consist of data that has needed us to liaise with the account holder prior to import. There are common areas where people run into issues with their data, and there needs to be more awareness and help available first before account holders can import on their own.

In the meantime, there are various ways to employ our current services. You can download the eHive Import Spreadsheet and see if the core fields it displays map easily to your current fields. If this spreadsheet needs expanding, then we can create a customised spreadsheet for you to use. Alternatively, we can handle the whole data conversion process for you. These options are outlined on the following eHive page (and the spreadsheet can be downloaded from here too):
